Your mission

As an HR Administrative Assistant, you will support the HR team in ensuring smooth and efficient administrative HR operations mainly in our Thessaloniki office. You will maintain and update employee records, prepare HR documents such as contracts, confirmations, and certificates, and ensure that all personnel documentation is accurate and well organized. 

In this role, you will also support the administrative aspects of onboarding and offboarding processes, coordinate HR-related documentation and internal communication, and serve as a reliable contact for employees regarding administrative HR matters. Your work will help maintain structured and efficient HR processes and contribute to a well-organized HR environment.

Responsibilities
  • Maintain and update employee records, personnel files, and HR systems

  • Prepare and manage HR documentation such as employment contracts, confirmations, and certificates

  • Support administrative onboarding and offboarding processes

  • Ensure accuracy and completeness of HR data and documentation

  • Manage and organize HR-related documents and records

  • Coordinate HR-related meetings, documentation, and internal communication

  • Act as a point of contact for employees regarding administrative HR matters

  • Support the HR team with general administrative and organizational tasks

  • Ensure HR documentation complies with internal policies and procedures

Qualifications
  • Completed commercial training (e.g., hr, office administration, business administration) or comparable professional experience

  • Previous experience in HR administration, office administration, or a similar role is an advantage

  • Strong organizational skills and attention to detail

  • Structured, reliable, and independent way of working

  • Ability to handle confidential information with discretion

  • Good communication and interpersonal skills

  • Experienced use of Google Suite

  • Good English skills; German is an advantage

  • Fluent in English & Greek language

  • Located in Thessaloniki area

  • Experience working across international or multi-site teams is an advantage
